Who does what, and who is liable at each step

Seven steps from a first note to a reservation with a DC travel agent

Seven steps, with the party responsible named at each. Nothing is charged at this end at any point in the sequence, and the arrangement becomes binding only when the operating company issues its own confirmation to you.

Reserve this with the officeNothing is charged here. The form stays open at any hour and a person writes back inside one working day.

Step one to three: asking, checking, quoting

You send the form or write directly. This office reads it and, where the request is specific enough, puts it to the operating company that runs the segment. That company answers with what it can hold and at what figure. Putting a figure on particular nights runs two to four working days: the company matches your dates against what it holds open that season first, so the number that reaches you has already survived that check.

Step four and five: agreeing, and being invoiced

You say yes to a specific figure, specific dates and a named company, in writing. That company then invoices you directly, in its own name, and asks for whatever share it takes at booking. This office never handles that money and never sees the card. If the company asks for a deposit rather than the whole figure, the balance date is stated in its confirmation and not left to be discovered.

Step six and seven: confirmation, and the weeks before you go

The operating company issues its own written confirmation naming the dates, the rooms, the guided days and its cancellation terms. This office keeps a copy and reads it against what was agreed, and says so if the two differ. In the weeks before departure the office handles changes you ask for, passes on anything the company tells it, and stays the point of contact. It does not initiate calls to you and sends no text messages.

Where this office stops

Seats and sea crossings are outside this business entirely. No carrier has a contract with this office, so nobody here can sell you one or tell you which is worth having. It sells no insurance of any kind. It gives no advice on visas, passports, vaccination, law or medicine, and will say so rather than guess, because a wrong answer on any of those costs the traveller more than the trip. Where a question falls outside what this office does, the answer names who to ask instead.

Asked before people commit

Can the office hold dates before I decide?

Sometimes, and only if the operating company offers it. Where a hold is possible the office says how long it lasts and what happens when it expires, in writing. Where it is not possible the office says that too rather than implying dates are safe. No hold ever obliges you to proceed and none is charged for at this end.

What happens if the operating company changes something?

It tells this office, and this office tells you the same day it hears, with the change in plain words and what the company is offering to do about it. You then decide. This office does not accept a change on your behalf and does not sit on news in the hope the next message is better.

Reserve one segment, or a whole line

This form is open at any hour, and whatever reaches it is read by a person who answers inside one working day. Nothing you send commits you, and no figure is charged at this end at any point.

1. How much of a line

2. When, and how many

Rough is fine. Two windows are more use than one, because the operating companies do not all open the same weeks.

3. Where the answer goes

No figure is charged at this end and no card number is asked for or kept. What happens to what you send.
